Getting started
First things to set up
Your company details, VAT, numbering, job stages and your team, before your first quote.
Everything customers see comes from Settings, so it's worth ten minutes before you send your first quote.
Admins see a Get set up list on the dashboard. Each step ticks itself off as you do it, and How opens the right guide. Hide this list tucks it away; bring it back from the System page.
Your company
- Open Settings. The first tab, Companies, lists your company.
- Click Edit and check:
- Business: legal and trading names, company number, VAT registered and VAT number
- Address and contact: shown on quotes and invoices
- Numbering: the prefix and next number for quotes and invoices. Starting from your existing numbers avoids gaps with your old system.
- Quote and invoice defaults: how long quotes are valid, payment terms, your quote terms, invoice footer and Bank details (printed on every invoice)
- Branding: your logo and brand colour, used on PDFs and the customer's online quote and invoice pages
- Click Save company.

General settings
- General & numbering: job number prefix and next number, your Labour rate (used by the Labour button on quotes), date format and time zone.
- VAT rates: the rates you use and which is the default. Rates that have been used can be switched off but not deleted.
- Job stages: the columns on the pipeline board, in order, and which count as closed.
- Job types: EICR, consumer unit change, fault finding and so on, with their usual time.
- Diary: the working day shown in the diary, how bookings snap (15 minutes, 30 minutes or 1 hour), and whether to show weekends.
Your team
- Open Users in the sidebar and click Add user.
- Enter their name, mobile and email (they sign in with it), and choose a Role:
| Role | For |
|---|---|
| Admin | Everything, including settings and users |
| Office | Diary, customers, jobs, quotes and the price list |
| Engineer | Their own jobs and diary, and building quotes on site |
| Accounts | Quotes, invoices, customers and reports |
- Switch on Goes out on jobs for anyone who should appear in the diary, and pick their Diary colour.
- Set a Temporary password (the wand button makes one) and tell them it. Click Add user.
On Team and Business plans you can also make your own roles in Roles & permissions.
Quotes and invoices go out by email, so set up your sending address before your first quote.
