Quotes: build, send and get accepted

Price a job from your catalogue with labour, email it, and let the customer accept it online.

Build a quote

  1. Open Quotes and click New quote, or click New quote on a job or customer.
  2. If you bill from more than one company, pick which one first.
  3. Choose the customer (or New customer), then fill in the title, site and dates. Valid until is filled in from your company's settings.
  4. Add the items:
    • type in Add from the catalogue (for example RCBO or 2.5mm) and pick an item, or use the quick picks
    • Labour adds an hour at your labour rate; change the quantity for more
    • Custom line for anything not in your catalogue
    • Section heading and Note to organise longer quotes
  5. Add an Introduction (shown above the items), check the Terms, and apply a Discount % if you need to.
  6. Click Save quote.

Prices on the quote exclude VAT; VAT is added per line at each line's rate. If your role can see costs, the totals panel also shows Cost, Profit and Margin. Customers never see these.

Send it

On the quote page, click Send. Check the email (To, Subject, Message), keep Attach the PDF ticked, and click Send email. The email includes a link to the quote online.

Sent it another way, such as by WhatsApp? Use More, Copy customer link, or Mark as sent. PDF downloads it.

When the customer answers

The customer's link shows the quote with Download PDF and Accept quote. To accept, they type their name and tick to agree. They can also decline and tell you why.

You get a notification either way, and the quote's status changes:

ExpiredPast its Valid until date without an answer

If they answer by phone, use More, Record the customer's answer.

After it's accepted

  • An accepted quote is locked. Use Reopen as draft if it really needs changing.
  • Create a job from this quote if it wasn't raised from a job. If it was, the job moves to Booked.
  • Create invoice from quote copies the lines onto an invoice. See Invoices and payments.
  • Duplicate is handy for similar jobs.
