Users, roles and two-factor sign-in

Add your team, control what each person sees, and protect accounts with a code from their phone.

Users

Users in the sidebar lists everyone who can sign in. Add user is covered in First things to set up. To change someone later, click their name.

  • Reset password sets a new temporary password and signs them out everywhere.
  • Switch off Account active when someone leaves. They can't sign in, but their history is kept. You can't deactivate yourself.
  • Your plan sets how many active users you can have. It's shown on Settings, Licence.

Roles

A role decides what someone can see and do. The built-in roles are Admin, Office, Engineer and Accounts. Engineers only see their own jobs and diary, and never see costs or margins.

On Team and Business you can make your own roles in Roles & permissions, New role, and tick exactly what they can do.

Two-factor sign-in

With two-factor sign-in, a stolen password isn't enough: signing in also needs a 6-digit code from an app on your phone.

Turn it on for yourself

  1. Install an authenticator app, such as Google Authenticator, Microsoft Authenticator or 1Password.
  2. In WireFlow, open My profile, and under Two-factor sign-in click Set up.
  3. Scan the QR code with the app (or type in the key shown under it).
  4. Enter the 6-digit code the app shows and click Turn on two-factor.
  5. Save your backup codes: Copy codes or Print, and keep them somewhere safe. Each one works once if you lose your phone.

Signing in

After your password, WireFlow asks for the code from your app. Tick Trust this device for 30 days on your own phone or computer so it only asks once a month there. Lost your phone? Type one of your backup codes instead.

To make new backup codes, forget trusted devices or turn it off, go back to My profile, Two-factor sign-in.

For admins

  • On Users, switch on Require for everyone. Everyone without two-factor is asked to set it up the next time they use WireFlow.
  • Someone lost their phone and their backup codes? Open their user page and click Reset two-factor. They can then sign in with just their password.
  • The users list shows a 2FA tag next to everyone who has it on.
