Getting started
Switching from other job software
Bring your customers and price list across from Tradify, Fergus, ServiceM8, Powered Now or a spreadsheet.
You don't have to start again. Your customers, their addresses and contacts, and your price list come across in a few minutes. Most firms keep their old account open for a month or two to look up old jobs and invoices, then close it.
What comes across
| Comes across | How |
|---|---|
| Customers, with addresses, phone numbers and emails | Customer import |
| Main contacts (a letting agent's property manager, say) | Customer import, contact columns |
| Work sites, when they're different from the customer's address | Customer import, site columns |
| Your price list: materials, labour items, cost and sell prices | Catalogue import |
| Open jobs and unpaid invoices | Add these by hand: usually only a handful at any time |
| Old jobs, quotes and invoices | Keep them in your old system, or download them as PDFs before you close it |
1. Export from your old software
Most job management software can export customers and items as a CSV file. Look under Settings, Reports or Export, or search its help pages for "export customers". If you can't find it, ask their support team for a CSV export of your customers and your price list. You're entitled to a copy of your own data.
Export:
- your customers (sometimes called clients or contacts), including addresses
- your sites or properties, if it keeps them separately
- your price list (sometimes called the price book, materials, items or products)
A spreadsheet works too: in Excel, choose File, Save As, CSV UTF-8.
2. Import into WireFlow
- Customers, Import: upload the customers file. On Match your columns, check what each column will become. Headings like *Customer Name*, *Phone Number*, *Physical Address Street* and *Postal Code* are matched for you. Then Check import and Import.
- Catalogue, Import & export: upload the price list the same way.
Rows that look like a customer you've already added are flagged, so it's safe to import a second file (sites, say) after the first. Full details: Bring your customers and price list across.
3. Before you switch over
- Set up your email sender so quotes and invoices go out from your own address.
- Start your quote and invoice numbers after your old system's last numbers (Settings, Companies, Numbering), so there are no gaps or repeats for your accountant.
- Add your team and their logins: First things to set up.
- Pick a switch-over date. From then on, new jobs and quotes go into WireFlow, and you only use the old system to look things up.
